Terms & Conditions
Appointments & Onward Travel
Any booking (from within the Ipswich Borough) where the destination is a coach/bus, train station, or other transport connection (within the Ipswich Borough) must be made a minimum of 60 minutes from your connecting departure time. Where the pick-up or destination is outside of the Ipswich Borough additional time must be allowed. We must be made aware of your connection time when you make your booking. Bookings must be received 48 hours before travelling. Any booking (from within the Ipswich Borough) for any important appointment (doctor, dentist, hospital, etc.) must be made a minimum of 60 minutes before your appointment time (any app bookings of this nature must be confirmed by a member of office staff) . Where the pick-up or destination is outside of the Ipswich Borough additional time must be allowed. We must be made aware of your appointment time when you make your booking. Bookings must be received 48 hours before travelling. Cabs Smart/Cars Smart will not be responsible for any missed appointments or transport links due to any unforeseen circumstances or a customer’s failure to adhere to these terms and conditions.
Card Payments
Card payments are not subject subject to an administration fee. Cancelled bookings are subject to a 7.5% cancellation fee (minimum charge of £5.00) with a minimum cancellation time of 60 minutes prior to the vehicle being dispatched (24 hours for all airport bookings).
Vehicles
The default number of passengers that can be carried in a licenced vehicle is four. Every person, regardless of size or age, counts as a passenger. For example: four adults and a new-born baby count as five passengers and must book a multi-seater. Do not ask a driver to exceed their capacity as doing so would be against their terms of licence and would invalidate their insurance. Unless a specifically requested vehicle is required, you will normally be sent the closest vehicle to your location. However, if you have specific needs (ie. extra seats, luggage space, wheelchair access, etc.), please inform us when placing your booking. Multi-seaters (5-8 passengers) are charged at an additional 50%; if you book a standard car but are provided with a multi-seater (as the nearest vehicle) and do not use the extra capacity, you will only be charged the normal car rate. We will endeavour to provide you with your requested vehicle. However, due to unforeseen circumstances it may not be possible to send you the vehicle you requested. In this rare circumstance we will endeavour to contact you with alternative solutions. All luggage must be conveyed in the luggage compartment of the vehicle. Only handbags, day packs etc. are allowed in with the passengers.
Airport Bookings
No responsibility will be accepted for bookings made less than 48 hours from collection time. A generous allowance is made for journey times to and from airports. However, we will not be held responsible for late or non-arrival if these times are not adhered to at your request, neither can we accept responsibility for unavoidable delays encountered en-route such as accidents and diversions. Payment for outward journeys (Ipswich to airport) should be made either in advance to our office or direct to the driver at the commencement of the outward journey. Payment for inward journeys (airport to Ipswich/Woodbridge/Felixstowe) must be made in advance either to our office prior to the journey, or to the driver at the commencement of the outward journey. We cannot send cars to pick up at airports or any remote location without first receiving payment. Wherever possible, you will be sent the same driver to meet you for the inward journey who took you outwards. This gives the opportunity for customer and driver to recognise each other on arrival. The driver will always meet you in at the arrivals gate holding a card with your name on unless you have arranged otherwise. In the unlikely event that you do not make contact with our driver at the airport please first check with the airport information desk, after which, if you have still not made contact with the driver please telephone our office on 01473-252525/01394-275275/01394-461461. For airport collections, we reserve the right to charge additional waiting time 60 minutes from the agreed collection time if our driver has been unable to locate you at the advised meeting point. However, we will endeavour to check with the airport/airline for confirmation of your arrival time prior to leaving Ipswich and adjust the collection time accordingly. We can not account for unforeseen circumstances and refunds can only be given in exceptional circumstances.
Card Payments

1.1 The environment in which we work and live has never been subjected to as much change as it is now experiencing. Population growth, use of finite resources and greenhouse gas emissions from human activities are taking their toll in many ways not least of all through climate change and pollution. Unfortunately, it is often the poorest and most vulnerable communities who are hardest hit by climate change, although in recent times we’ve seen some extreme conditions here at home too. World temperatures continue to rise as greenhouse gas concentrations in the atmosphere increase and pollution through waste generation continues.
1.2 Smart Bar Enterprises Ltd, who also trade under the names of Cabs Smart and Cars Smart, is committed to reducing the environmental impact of our operations and will ensure that all is done to mitigate climate change and the adverse impact this has on the world. We are committed to complying with applicable legislation in all the jurisdictions where it operates and will share achievements with all stakeholders in and outside the organisation.
1.3 This policy has been produced in line with, and should be interpreted in the light of, our organisational values: compassionate, courageous, inclusive and dynamic.

2.1 Smart Bar Enterprises Ltd policy statement on carbon emissions is: There is strong consensus within the scientific community that climate change is occurring and is caused by human activity. Smart Bar Enterprises Ltd is therefore taking steps to reduce its own carbon emissions. This makes good sense environmentally and economically.
2.2 Smart Bar Enterprises Ltd needs to balance environmental commitments with other considerations such as financial constraints, operational constraints and response to the limitations laid down by the licensing authorities connected with our trade.
2.3 It is nonetheless our aim to ensure our environmental commitments become an integral part of our day to day activities, that we seek ways to continually improve our environmental performance and operate in a responsible manner including reducing waste and making reductions in our carbon emissions from heat, power and travel.
2.4 Smart Bar Enterprises Ltd will ensure it operates within all environmental, legal and other requirements as imposed by EU and UK law and best practice.
2.5 Smart Bar Enterprises Ltd is principally a passenger transport company and our main objective over the new few years is to slowly replace our fleet of vehicles with Electric vehicles. Currently one of our limitations is the mileage range of currently available vehicles.
2.6 The aim of this policy is for Smart Bar Enterprises Ltd to control its impact on the environment through the following objectives: Minimise our contribution to pollution by reducing our carbon emissions and waste together with recycling, reusing and reducing wherever possible Assess the adverse effects our operations/partnerships may have on the environment and seek ways to minimise them. Promote environmental awareness to all stakeholders including the induction of new staff and volunteers Monitor, report and reduce carbon emissions specifically from heat, power and travel We will achieve the objectives through the following activities: i. Selecting the most appropriate form of travel taking in to account carbon emissions as well as other business factors; ii. Ensuring that our buildings are operated in such a manner so to optimise use and reduce emissions through control of heat and power iii. Reducing waste through control of packaging for bought in goods iv. Recycling all appropriate waste such as paper, card, metals and plastics v. Reducing our use of plastics vi. Ensuring that the induction process for new starters contains information about this policy and obligations to adhere to it vii. Challenging behaviour of colleagues who act in a manner contrary to the this policy viii. Implementing a central reporting mechanism to allow senior management to be informed about environmental issues within the organisation and achievements made in mitigating the overall environmental impact ix. Expanding the availability and use of new technologies to allow for changes in behaviour particularly around travel, e.g. greater use of video conferencing and expand the ‘virtualisation’ of IT systems x. Including in supplier selection and review criteria minimum environmental standards expected of current and future suppliers for bought in goods and services xi. Providing yearly reports for each business unit showing carbon emissions generated from electricity, gas and travel xii. Using environmental impact assessments (EnvIA) for UK projects where a potential increase risk of detriment to the environment has been identified and report on such assessments in our Annual Report and other such media outlets.
3 Responsibilities
3.1 All of our people are responsible for complying with this policy and supporting our efforts to minimise our impact on the environment.
3.2 Management and all those in a supervisory role have the responsibility for implementing the policy within their areas of responsibility, and should ensure that environmental issues are given adequate consideration in the planning and execution of our operations, services and programs.
4 Laws and regulations
4.1 We will ensure we operate within all environmental, legal and other requirements as imposed by EU and UK law and best practice.
4.2 This policy can be shared with external stakeholders including members of the public and commissioners.4.3 Where applicable, Smart Bar enterprises Ltd will comply with
commissioners’ environmental/carbon reduction polices and infinitives.

Promote environmental awareness to all stakeholders including the induction of new staff and volunteers Monitor, report and reduce carbon emissions specifically from heat, power and travel We will achieve the objectives through the following activities: i. Selecting the most appropriate form of travel taking in to account carbon emissions as well as other business factors; ii. Ensuring that our buildings are operated in such a manner so to optimise use and reduce emissions through control of heat and power iii. Reducing waste through control of packaging for bought in goods iv. Recycling all appropriate waste such as paper, card, metals and plastics v. Reducing our use of plastics vi. Ensuring that the induction process for new starters contains information about this policy and obligations to adhere to it vii. Challenging behaviour of colleagues who act in a manner contrary to the this policy viii. Implementing a central reporting mechanism to allow senior management to be informed about environmental issues within the organisation and achievements made in mitigating the overall environmental impact ix. Expanding the availability and use of new technologies to allow for changes in behaviour particularly around travel, e.g. greater use of video conferencing and expand the ‘virtualisation’ of IT systems x. Including in supplier selection and review criteria minimum environmental standards expected of current and future suppliers for bought in goods and services xi. Providing yearly reports for each business unit showing carbon emissions generated from electricity, gas and travel xii. Using environmental impact assessments (EnvIA) for UK projects where a potential increase risk of detriment to the environment has been identified and report on such assessments in our Annual Report and other such media outlets.
3 Responsibilities
3.1 All of our people are responsible for complying with this policy and supporting our efforts to minimise our impact on the environment.
3.2 Management and all those in a supervisory role have the responsibility for implementing the policy within their areas of responsibility, and should ensure that environmental issues are given adequate consideration in the planning and execution of our operations, services and programs.
4 Laws and regulations
4.1 We will ensure we operate within all environmental, legal and other requirements as imposed by EU and UK law and best practice.
4.2 This policy can be shared with external stakeholders including members of the public and commissioners.4.3 Where applicable, Smart Bar enterprises Ltd will comply with
commissioners’ environmental/carbon reduction polices and infinitives.
5 Monitoring and compliance
5.1 Management systems are in place to monitor this policy and ensure compliance.
6 Review and maintenance
6.1 This policy was reviewed in September 2021. It is next scheduled for review in September 2024, but will be updated earlier as required.
